Clinical Receptionist

£28,000 - £32,000 Pro Rata

The Clinical Receptionist role is crucial in shaping the first impressions of the business; speaking directly with current and new clients and finding suitable therapists for referrals into either our low-cost or private counselling services. The role includes being knowledgeable of different types of therapeutic approaches and client issues by drawing upon clinical experience. Receptionists will be responsible for keeping the bookings system up to date working alongside the Counselling Services Manager. They act as a gatekeeper and brand ambassador for the agency; demonstrating the organisation’s commitment to professionalism, hospitality and efficiency.

  • Be the first point of contact, welcoming all visitors including clients, therapists, tutors and the TAC team. A warm and professional approach.
  • Ensuring all visitors sign in/out to our electronic system for health and safety requirements, visitors being welcomed, seated and informed.
  • Managing all enquiries and client bookings with an appropriate therapist within our services.
  • Therapeutically managing appropriate referrals and liaising with the Counselling Services Manager.
  • Triage some clients into our low-cost counselling service.
  • Keeping the receptionist’s handbook up to date in line with other clinical handbooks.
  • Working alongside the Counselling Services Manager and meeting all therapists by getting to know how they work clinically.
  • Support the Counselling Services Manager in maintaining and improving operational systems and procedures for effective daily reception duties.
  • General housekeeping duties, and ordering products and stationery.
  • Ensure team compliance to GDPR for all content management systems used.
  • Auditing and reporting receptions day to day operations.
  • Working with the clinical team to understand current and new developments within the services.
  • Set up the Training room for all TAC counselling courses and welcome tutors to the centre.
  • Qualified Counsellor or Psychotherapist, or a trainee therapist in the final six months of their training.
  • Experience in reception, administration, or office-based roles.
  • Confident to work with those in distress.
  • Passionate, driven and ambitious within the field of counselling and psychotherapy, with good leadership skills.
  • Ability to communicate in a professional manner both verbally and in writing.
  • Ability to liaise with clients and be empathic in supporting sensitive information.
  • Ability to be proficient in time management and be able to multitask effectively.
  • To be able to present themselves and behave in a clinical and professional manner.
  • Ability to work effectively with the other members of the Counselling teams.
  • High proficiency in Excel, Word, Outlook, and knowledge of using databases, including CRM and Microsoft 365.
