Executive Assistant – Full Time. Based at Clapham Office

£45,000

We are seeking a highly organised Executive Assistant to work closely with the CEO and support the senior management teams of The Awareness Centre and The Awareness Centre Training School. This dynamic role involves providing high-level administrative and operational support across the organisation, including liaising with contractors, supporting the CEO on the development of new projects and coordinating the CEO’s private psychotherapy practice.

PRINCIPAL ACCOUNTABILITIES:

  • Manage all contractors’ services working over three sites, booking jobs on the database and creating PO numbers working alongside the Finance Team.
  • Examples of contractors; Maintenance, Fire and Security alarm, IT and Comms, Cleaning, Database Administrator.
  • Working with the senior team/s in each department to find out what jobs need booking.
  • Manage the CEO’s counselling and psychotherapy private practice, booking appointments, writing up notes on the database, uploading external reports on the database.
  • Manage the CEO’s diary for filming the podcast ‘A Bunch of Therapists’ and as a guest on other podcasts.
  • Manage the CEO’s diary with meetings both internal and external.
  • Work with the CEO while she is developing other projects.
  • Plan agendas for senior meetings the CEO attends and taking minutes.
  • Handle all calls and emails on behalf of the CEO.
  • Assist with the planning and execution of company events.
  • Maintain strict confidentiality regarding sensitive information.

QUALIFICATION AND SKILLS:

  • Previous experience working as an EA.
  • To be passionate, driven and ambitious, with good leadership skills to work with senior management and the CEO.
  • Ability to work under pressure and good time management.
  • Excellent organisation skills, prioritisation skills, ability to multitask and have attention to detail.
  • Professionalism and a collaborative approach to working.
  • Ability to work effectively with colleagues from other disciplines.
  • The ability to identify and resolve issues efficiently.
  • The ability to adapt to changing priorities and work effectively in a fast-paced environment.
  • High proficiency in Excel, Word, email and knowledge of using databases, including CRM and Microsoft 365. This is essential.
  • Excellent communication and interpersonal skills.
